The fastest way to stop taking bookings in DMs is to give clients a better path: one link where they can see your services, pick a time, pay a deposit and get a confirmation without waiting on you. If any of the five signs below sound familiar, your business is ready for that path.
DMs and Google Forms are where most of us start, and there's no shame in that. They're free and they're already on your phone. But at some point, the tools that got you started start costing you clients, money and sleep.
1. You answer the same five questions every day
"How much?" "Do you have anything Saturday?" "Where are you located?" "Do you take deposits?" "Can I bring my kid?"
If you could recite your answers in your sleep, they belong on a page, not in your thumbs. Every minute you spend retyping prices is a minute you're not doing the work only you can do.
The fix: a services page with prices (or "starting at"), your policies and an FAQ. Then one saved reply in your DMs: "Hey love! Everything's here, and you can book right on the page: [link]."
2. Orders and bookings live in screenshots
If your system is a camera roll full of screenshots, a Notes app list and a little bit of memory, you're one busy weekend away from a double booking or a missed order.
The fix: a booking or order system where every request lands in one list with the date, the details and whether it's paid. You check one place, not five.
3. You chase deposits and no-shows
Sending payment links one by one, following up when they don't pay, then getting stood up anyway. It's exhausting, and it's money walking out the door.
The fix: require a deposit at the moment of booking, with your cancellation policy on the same screen. Add automatic reminders a day before. Clients who pay upfront show up.
4. You can't see last month's numbers
How many bookings did you have last month? What's your best-selling service? Which day is slowest? If you'd have to scroll and count to answer, you're making decisions on vibes.
The fix: a simple dashboard that shows bookings, revenue and top services at a glance. When the numbers are in one place, you can raise prices, run a promo on slow days or drop the service nobody buys.
5. You're scared to take a day off
This is the real one. If the business only works when you're glued to your phone, it's not freedom. It's a second job.
The fix: systems that keep working when you don't: online booking, automatic confirmations and reminders, an email that welcomes new clients, and an AI assistant that answers common questions in your voice.
What a better setup looks like
Here's the simple version most of our clients start with:
- A website with a booking or order page that answers the common questions and takes payment. (Here's what that page needs.)
- Automatic confirmations and reminders by email or text.
- One list of every booking or order, with paid and unpaid clearly marked.
- A link in your bio that goes straight to booking, plus saved replies that send people there.
You don't have to build all of it at once. Start with the one sign that hurts the most.
